Globally, the Higher Education Institutions (HEI) have become increasingly more efficient and effective for the services they provide, this is due to huge investments in a variety of process improvement methods. Studies reveal that HEIs have improved the performance of key processes such as student services .

A UK-wide study on the income and impact of the higher education sector on the UK economy reveals that Universities receive £35.7 billion as income and generate around £73 billion in output.

As most UK universities recruit students through Clearing, each institution have a team dedicated to supporting, managing and monitoring student recruitment in line with the strategic goals of the university and developments in the higher education sector. From an economical point of view, ‘student as customer’ idea has become more apparent since the increase in tuition fees by the coalition government and it is harder to fill up places due to the dynamics of Clearing especially if applicants’ expectations are not met; therefore it is expedient to optimize the student recruitment process for improved efficiency and effectively managing the application process.

 
The project was divided into phases:

1) Requirements gathering and understanding of the clearing process through interviews and observation.

2) The process activities were mapped into models for analysis

3) SNACH framework was applied as a structured approach to improve the process

4) A to-be clearing process was created.

5) The as-is and to-be process models were measured to determine the extent of improvement. 

 

The outcome was: 49.60% cost saving, complexity reduced by 52.76%, flexibility increased by 10.30% and cycle time reduced by 51.56%.

Admission applicants will benefit from the improved clearing process in that the process is alot easier and more streamlined. The university benefits in that cycle time and cost is reduced and their is higher chance of recruting more students within clearing period.

Overall, the complexity of the clearing process was reduced to create efficiencies and hence performance improvement.
